What Local Actually Means When Most Support Is Remote

Here is something worth being honest about, because it changes how you should evaluate any provider in this region.

Almost all IT support is now delivered remotely. In our case that is 96.6 percent of tickets. A provider two hours away who answers in fifteen minutes will serve you better than one down the street who can visit Thursday. So the question is not really how close they are. It is three other things.

  • How fast do they answer, and is there a number written into the agreement?
  • Do they cover the hours you actually operate, including evening appointments?
  • Can they get onsite when it genuinely matters, such as a failed switch or a network cutover?

Being regional rather than national still matters, just not for the reason most people assume. It matters because we can be in your building for the things that require hands, and because you are talking to people in your own time zone who know the area, not a call center queue.

Six Questions That Separate Experience From Willingness

Ask these of every provider on your list, including us. The answers sort the field quickly.

1. Have you implemented a behavioral health records platform, or supported the computers around one?

These are different levels of experience. Supporting workstations near an EHR teaches you very little about the EHR.

2. Will you sign a Business Associate Agreement, and how fast?

Any hesitation is the answer. A provider who does not understand that they are a business associate has not thought seriously about healthcare work.

3. What is your response target for a mission critical issue, and where is it written?

Ask to see it in the agreement rather than hearing it in a meeting. Ours is a one hour response with a four hour restoration target.

4. What are your support hours?

Behavioral health runs evenings. If your last clinician finishes at 8 p.m., a provider who closes at 5 leaves you uncovered for the part of the day when you have clients in the building.

5. Who owns our documentation and passwords if we leave?

Some IT companies keep network documentation and credentials to themselves so that leaving is painful. Ask directly and get the answer in writing.

6. Do you know what 42 CFR Part 2 requires beyond HIPAA?

If your practice touches substance use disorder records, you are subject to rules stricter than HIPAA alone. A blank look here tells you how much behavioral health work they have actually done. Worth noting that the Office for Civil Rights began enforcing the Part 2 regulations in February 2026, so this is no longer a theoretical distinction.

Why Behavioral Health Is Different From General Healthcare IT

A dental office and a counseling center both fall under HIPAA, and an IT provider who has done dental work will tell you they can handle both. Mostly they can. But there are real differences worth knowing about.

  • Substance use disorder records carry additional protections under 42 CFR Part 2 that go beyond HIPAA.
  • Telehealth is standard rather than occasional, which changes what your network and your endpoints need to handle.
  • Evening and weekend appointments are normal, which changes what support hours have to cover.
  • Behavioral health records platforms such as Credible, TherapyNotes, SimplePractice, and Valant work differently from general medical systems, and clinicians document differently in them.
  • Practices in this field often run lean, with no internal IT at all, so the provider is the whole department rather than a supplement to it.

How to Build Your Own Shortlist

If you are starting from nothing, this is a reasonable half hour of work.

  1. Ask two or three practices in your area who they use and whether they would recommend them. Peer referrals in this field are reliable.
  2. Search for providers who write about HIPAA and behavioral health specifically rather than listing healthcare among twelve industries.
  3. Check whether they publish pricing. It is not a dealbreaker if they do not, but it tells you something about how the sales process will go.
  4. Run the six questions above on a short call before scheduling anything longer.
  5. Ask for a reference from a healthcare client. Not a testimonial on their website. A phone call with a real administrator.
